Renewable Leeds takes your privacy seriously – and we've written this notice to be read, not just filed. In plain English, it explains what personal information we collect when you browse our site or ask us for a quote, how we use it, who we share it with, and the rights you have over it. What we collect

Enquiry data – when you use the quote form or contact us: your name, phone, email, postcode, property type, ownership status, the services you're interested in, your timeline, any message, and a record of your consent with its timestamp.

Analytics data – only after you accept analytics cookies: pages viewed, device and browser, approximate location, how you found us, and what you interact with on the site.

Call data – if you call us: your number, the time and the duration of the call.

The legal bases we rely on

Consent – for analytics/advertising cookies and any marketing contact. You can withdraw it at any time.

Legitimate interests / steps prior to a contract – handling and responding to your enquiry and preparing your quote.

Legal obligation – keeping tax and accounting records where the law requires it.

How we use your data

To respond to and quote your enquiry, arrange a survey, send relevant follow-ups where you've agreed to them, measure how our marketing performs, and meet our legal and accounting duties. We do not sell your data, and we make no automated decisions about you with legal effect.

Who we share it with

Our confirmed processors are: Krystal (website hosting and email), Cloudflare (secure handling of form submissions), and Google (Analytics 4 and Google Ads – consent-gated, nothing fires before you opt in). Each operates under a data-processing agreement. If we add a CRM, call-tracking provider or the Meta pixel later, it will be added to this list when – and only when – it actually goes live.

International transfers

In practice, our hosting and email keep your data in the UK. Google and Cloudflare may process some data on servers outside the UK; where that happens it's covered by the UK's data-adequacy rules or standard contractual clauses (the UK IDTA / SCCs). We confirm the position for any further processor before we start using it.

How long we keep it

Accounting records are kept for 6 years (an HMRC requirement); analytics data follows the Google Analytics retention setting (14 months). Our confirmed retention period for enquiry and lead data is being finalised and will be stated here – until then, you can ask us to delete your enquiry data at any time using the contact below.

Your rights

You have the right to access, correct, erase, restrict and port your data, to object to processing, and to withdraw consent. To exercise any of them, email info@renewableleeds.co.uk – we respond within one month.

Cookies

Complaints

You can complain to the Information Commissioner's Office (ico.org.uk · 0303 123 1113) – though we'd appreciate the chance to resolve it first.
